Operating System
How FLEXIAN works
FLEXIAN works as one connected system. Chef-developed meals are delivered and stored frozen at your location. When a meal is ordered, staff place it in the FLEXIAN Smart Oven, which recognises the dish and runs its preparation program — most meals are ready in around five minutes. Each preparation is recorded, so inventory and consumption stay up to date and future deliveries can be planned from actual usage.
The complete system
FLEXIAN connects the parts of food service that are usually separate. The meals, the oven, the ordering flow, the location and customer applications, inventory, preparation records, consumption and replenishment all work from the same operation:
- Chef-developed meals
- Meals developed by chefs and stored frozen, each with its own preparation program.
- FLEXIAN Smart Oven
- The connected preparation oven that recognises each meal and applies the correct program.
- Digital ordering
- QR menu, WhatsApp and staff-assisted ordering, depending on how a location is configured.
- Customer and location applications
- Applications used by guests and by location staff to order, prepare and manage service.
- Inventory visibility
- Real-time visibility of meal stock at the location, on the FLEXIAN Platform.
- Consumption tracking
- Each prepared meal is recorded, so consumption updates automatically.
- Replenishment support
- Real consumption is used to plan replenishment and recommend reorder quantities.
- Multi-location operations
- The FLEXIAN Platform supports single-site and multi-location operators from one place.
Operational journey
A typical location follows this sequence:
- FLEXIAN and the customer define the location and operating model.
- The location receives the smart oven and an initial meal stock.
- Meals are stored frozen.
- Staff or guests choose a meal through an available ordering flow.
- The oven applies the meal’s preparation program.
- The preparation event is recorded.
- Inventory and consumption information are updated or made available.
- Future deliveries can be planned using actual consumption.
Which ordering channels and platform features are active depends on how a location is configured. Consumption-based replenishment is planning support, not fully automated ordering.
Staff experience
Location staff load the chosen meal into the oven and serve it. Because the oven recognises each meal and runs the correct program, training is minimal and staff involvement is still required — FLEXIAN reduces kitchen work, it does not remove all staff involvement.
Customer or guest experience
Guests order a meal and receive it hot, prepared consistently. The available ordering channels depend on the deployment and can include:
- QR menu ordering at the table
- Mobile application ordering
- WhatsApp ordering
- Staff-assisted ordering
Not every channel is available in every deployment; your team confirms which channels a location uses.
Inventory and replenishment
- Stock visibility: meal stock at the location is visible on the FLEXIAN Platform.
- Recorded movements: stock changes are recorded as meals are received and used.
- Preparation events: each prepared meal is recorded.
- Consumption information: usage is aggregated so you can see what has been consumed.
- Planning future deliveries: recommended reorder quantities support replenishment planning.
FLEXIAN provides replenishment support based on real consumption — it helps you replenish at the right time rather than placing orders on your behalf without oversight.
Multi-location operation
The FLEXIAN Platform supports both single-site and multi-location operators, giving visibility across locations in one place so stock and performance can be compared and managed centrally rather than site by site.
Connectivity and offline operation
Preparing and serving meals does not depend on a live connection — the oven runs each meal’s program locally. Online features such as new orders and reporting reconnect and synchronise once connectivity returns.
Frequently asked questions
No. The oven is one component of a connected operating system that also includes chef-developed meals, digital ordering, inventory visibility, consumption tracking and replenishment support.
Yes. Meals are developed by chefs, stored frozen and prepared on demand using each meal’s program.
No. A full kitchen and trained chefs are not required. Staff load the meal and serve; training is minimal.
Each meal carries its own program. The oven recognises the dish and applies the correct time and settings automatically.
Meal stock is visible on the FLEXIAN Platform, and each prepared meal is recorded so consumption updates automatically.
Yes. The platform supports single-site and multi-location operators, with visibility across every location in one place.
Preparing and serving meals continues, because the oven runs each program locally. Online features reconnect and synchronise when connectivity returns.
FLEXIAN uses real consumption to show when meals are running low and to recommend reorder quantities, supporting replenishment at the right time.
